Gmail privacy notice

Your recruiter can invite you to connect your Gmail account to JobOrbit so that interview invitations, application updates, results and offers are tracked automatically.

What you grant

You sign in on Google’s own page and approve the Gmail read-only permission, together with your basic profile (name and email address). JobOrbit never sees your password.

Google’s read-only permission technically allows an application to read all messages in your mailbox, not only recruitment emails. Google does not offer a narrower permission for this purpose.

What JobOrbit does

• Searches your inbox only for recruitment-related keywords (for example interview, offer, shortlisted, regret to inform), excluding sent mail and drafts.
• Stores the subject, sender, date and a short excerpt (up to 1,000 characters) of matching emails, plus the interview details found in them.
• Does not store full email bodies or attachments, and never sends, deletes or changes your email.
• Uses rule-based processing; your email content is not sent to AI services.
• Shows the results only to recruiters authorized to manage your profile.

Google API Services User Data Policy (Limited Use)

JobOrbit’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

• Gmail data is used only to show your interview invitations and application updates to your recruiter. It is not used for any other purpose.
• Gmail data is never sold, never used for advertising, and never used to build user profiles for advertising or to train AI or machine-learning models.
• Gmail data is not transferred to anyone else, except as needed to run this feature (our hosting on Microsoft Azure), to comply with the law, or as part of a merger or acquisition with notice to you.
• People do not read your emails. JobOrbit staff can only access the stored excerpts with your consent, to investigate a security issue or abuse, or to comply with the law. Your recruiter sees only the matching recruitment emails described above.

Storage, security and retention

• Data is stored on JobOrbit’s servers on Microsoft Azure. Your Google access token is encrypted (AES-256-GCM) and is never shown to recruiters.
• Connections use HTTPS. Access is limited to authorized recruiters and is recorded in an audit log.
• Imported data is kept while your Gmail stays connected. When Gmail is disconnected, JobOrbit stops reading your mailbox and revokes its Google access. You can ask for the imported data to be deleted at any time, and we delete it within 30 days.

Your control

You can remove JobOrbit’s access at any time from your Google Account (Security → Third-party apps with account access), or ask your recruiter to disconnect Gmail and delete the imported data.
